Privacy Policy

How Veyatia handles information in connection with its real-time interpretation platform, built around data minimization.

1. Scope

This Privacy Policy describes how Veyatia handles information in connection with its real-time interpretation platform (the “Service”). Veyatia provides the Service to organizations; where the Service is used with regulated data — such as protected health information or student education records — the organization’s agreement with Veyatia (for example a Business Associate Agreement or student-data agreement) governs that data and prevails over this Policy where they differ.

2. Information we process

  • Account information — your name, work email address, role, organization, and preferences such as working languages, provided when your organization invites you and during setup.
  • Session content — audio from interpretation sessions is processed in real time to produce transcripts, translations, synthesized speech, and session summaries for your organization’s use.
  • Operational data — session metadata (time, duration, participants’ roles, language pair), device and log information used to operate, secure, and troubleshoot the Service, and audit records of administrative actions.

3. Data minimization and retention

The Service is designed around minimizing what is kept. Call audio is processed in real time to provide interpretation; the Service does not build a long-term store of sensitive personal content. Where session records (such as transcripts or summaries) are kept for the organization’s use, automated redaction reduces sensitive content at rest, and retention is limited and enforced by scheduled deletion. Organizations can request deletion of their data, and offboarding removes organization data from the platform.

As the Service evolves, this section will be updated with specific retention windows per data category.

4. How we use information

We use the information above to:

  • provide, operate, and secure the Service;
  • route sessions, provide interpretation, and escalate to your own human interpreters;
  • support your organization’s administrators and compliance needs;
  • troubleshoot, prevent abuse, and meet legal obligations.

We do not sell personal information, use it for advertising, or profile individuals for unrelated purposes.

5. No model training on your content

We do not use your organization’s call audio, transcripts, or summaries to train foundation models or third-party models. Any use of data to improve the Service is limited, de-identified or aggregate, and consistent with the organization’s agreement. Any future program involving customer content for model improvement would be strictly opt-in and contractually documented — never a default.

6. No biometric identifiers

The Service transcribes and translates speech. It does not create voiceprints, speaker-identification templates, or other biometric identifiers from call audio.

7. Sharing and service providers

We share information only with service providers that help us operate the Service — telephony carriers, speech recognition, machine translation, voice synthesis, cloud hosting, authentication, and email delivery — under contracts limiting their use of the data to providing those services. A current list of subprocessors is available on request at privacy@veyatia.com. We may also disclose information where required by law, and to your organization, which controls the accounts and session records for its workspace.

8. Recording and communications notices

Interpretation sessions are processed in real time, and where sessions are recorded or transcribed, participants should be informed. Organizations are responsible for providing notices and obtaining consents required in their jurisdictions; the Service provides announcement and disclosure tooling to support this.

9. Security

We protect information with encryption in transit, access controls, tenant-by-tenant data isolation, audit logging, and monitoring. No system is perfectly secure; we notify affected organizations of incidents as required by law and by their agreements.

10. Children

The Service is a workplace tool for organizational staff and is not directed to children under 13. Accounts may only be created by an organization’s authorized personnel.

11. Your choices

You can review and update account information in your profile settings. For access or deletion requests concerning session records, contact your organization’s administrator, who controls that workspace; or contact us at privacy@veyatia.com and we will route your request appropriately.

12. Regional privacy rights

Depending on where you live, you may have rights to access, correct, delete, or restrict the processing of your personal information, or to object or lodge a complaint with a regulator. Because organizations control the accounts and session records in their workspace, we generally route these requests to the relevant organization; you may also contact us at privacy@veyatia.com and we will help direct your request. We do not sell personal information or share it for cross-context behavioral advertising.

13. International data transfers

The Service is operated in the United States. Where information is processed in a country different from where it was collected, we rely on appropriate safeguards required by applicable law. Details for a specific deployment are addressed in the organization’s agreement.

14. Changes to this Policy

We may update this Policy from time to time. Each version is identified by a version number and effective date at the top of this page; material changes will be communicated with notice and, where appropriate, re-acceptance.
